Position Overview
We are seeking a Project Data Coordinator to join our team. In this role, you will help ensure compliance for retirement and benefit plans while facilitating seamless communication between carriers, brokers, clients, and employees.
The ideal candidate will manage and fulfill data requests, compile and organize large data sets, and ensure compliance with required benefit notices. Acting as a project manager for high-level initiatives, this role also provides critical administrative support to the HR function, including record-keeping, file maintenance, and HRIS data entry.

Duties/Responsibilities:
- Performs customer service functions by answering employee requests and questions;
- Conducts audits of benefits or other HR programs and assists with corrective action;
- Manages the forward motion and administration of various projects including audits, annual reporting and reconciliation assignments;
- Works closely with relationship managers, including brokers, carriers and internal staff to ensure that all client needs are met;
- Verifies the calculation of the monthly premium statements for all group insurance policies and maintain statistical data relative to premiums, claims and costs;
- Resolves administrative problems with the carrier representative;
- Obtains statistics and information in the renewal process of any health and retirement plans that benefit the company;
- Ensures distribution of required compliance notices;
- Works with clients to ensure that their benefit practices are compliant, notifying them of any legal updates and providing updated paperwork as needed;
- Acts as project manager for all retirement plan reporting requirements;
- Assists in the onboarding of new clients to the benefits and retirement plans;
- Assists with building and maintaining plan models in the HRIS systems;
- Makes photocopies, mails, scans and emails documents and performs other clerical functions;
- Files documents into appropriate employee files;
- Assists or prepares correspondence as requested;
- Responsible for understanding and complying with all policies, procedures and regulations relating to job duties;
- Knows and understands the additional services Afinida HR can provide to clients, being able to communicate these clearly and efficiently;
- Other duties as needed and/or assigned by management.
Required Skills/Abilities:
- Excellent verbal and written communication skills;
- Excellent interpersonal and customer service skills;
- Proficient in Microsoft Office Suite or related software;
- Strong capacity with Microsoft Excel;
- Excellent organizational skills and attention to detail;
- Basic understanding of clerical procedures and systems such as record keeping and filing;
- Ability to work independently;
- Strong mathematical skills;
- Understanding of basic principles of bookkeeping;
- Superb time management and detail orientation;
- Ability to keep company and partner confidences.
Education and Experience:
- 1+ years’ experience in a Customer Service or Business Administration role;
- 1+ years’ with demonstrated project management capabilities;
- Bachelor’s degree in Business, Human Resources or related, preferred;
- While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone, and keyboard;
- Specific vision abilities required by this job include close vision requirements due to computer work;
- Light to moderate lifting may be required;
- Regular, predictable attendance is required; including quarter-driven hours as business demands dictate;
- Moderate noise (i.e., business office with computers, phone, and printers, light traffic);
- Ability to work in a confined area;
- Ability to sit at a computer terminal for an extended period.

- $27.88-$31.73 per hour
